Executive Assistant

  • Salary: $73,842 to $89,661 (Plus Superannuation)

The Role

The role's primary focus is supporting the executive director through the proactive management of diary appointments and logistics, coordination of meeting requests and associated meeting documentation, and active management of emails. The role also assists with the management of the PSD executive office, including the coordination of workflows in and out of the office.

  • Executive support including, but not limited to supporting the executive director with the management of diary appointments, coordination of meeting requests and associated meeting documentation, and management of emails, as well as assisting with the management of the PSD executive office.
  • Relationship management including proactively building and maintaining positive relationships with internal and external stakeholders. Working cooperatively with other executive assistants and divisional staff to provide a range of services to the executive director and divisional staff to support the department's goals, values and behaviours. On behalf of the executive director, liaise with executive support staff across executive offices. This includes adjusting your working style to best support the executive director and strategic adviser and coordinator.
  • Office management including meeting and workshop logistics, organising maintenance requests in line with departmental processes, general administrative support to the PSD executive office, organising travel arrangements when required, processing of invoices, and ordering office stationery.

The Team

The position of Executive Assistant forms a part of the Policy and Strategy Division executive office / Training, Skills and Higher Education Group.

Recently transitioned from the Department of Education under a machinery of government, TSHE is responsible for the oversight of tertiary education in Victoria, including vocational education and training, higher education, and adult education and lifelong learning, ensuring that Victorians have access to quality and relevant post school education and training to enhance their skills and knowledge to be active participants in the community and that industry can access the skilled workforce it needs.

PSD is the lead policy group within TSHE and delivers high priority policy and strategy insights and projects relevant to the overall VET sector; and manages the policy settings and budget for the accredited training system, including engagement with the national VET system, and oversees VET data reporting, standards, and governance.
